Privacy & cookies
What happens to the information you give us through this website, and how to reach us about it.

Who is responsible?
BTN Crew Ltd (company number 12096861, registered in England & Wales) is the controller of the personal information collected through btncrew.com. For any question about your information, or to exercise a privacy right, email[email protected].
What information do we use?
- Quote enquiries: when you use the Request a Quote form we receive your name, email address and message, plus your company and event dates if you give them. The form is processed on our hosting provider’s servers, saved in a database and sent to our email inbox. Name, email and message are required so we can reply; if you’d rather not use the form, email us instead. The form uses Cloudflare Turnstile to block spam. It sends a Turnstile token, and your network address, to Cloudflare for verification.
- Emails you send us: your email address and whatever you include in the message.
- Site measurement, only if you accept it: Google Analytics 4 records the pages you view, how you arrived (for example a referring site or search), the time of each visit, your approximate location derived from your network address, and your device, browser and screen size. It recognises your browser with a random ID stored in a cookie. It does not run unless you choose Accept.
- Site operation: our host processes technical request information, such as your network address and browser details, to deliver the site and protect it from abuse.
Why do we use it?
We use enquiry details to reply to you and to quote for work you ask about (steps taken at your request before a contract, and our legitimate interest in answering business enquiries). We measure visits with Google Analytics only with your consent, which you can withdraw at any time. We process technical data to run and secure the site, which is our legitimate interest. We keep records where the law requires it or where we need them to establish or defend a legal claim.
Who handles the information?
- Cloudflare hosts the website, runs the quote form and checks it with Turnstile.
- Sleight of Dev (Jim Christian) builds and runs this website for us as our processor. Each quote enquiry is saved in a Cloudflare D1 database held in the EU before it is emailed to us, so an enquiry is not lost if email delivery fails. We store the form fields, the page you sent it from, your browser’s user-agent and a one-way coded version of your network address, never the address itself. Enquiries are deleted from that database after 24 months.
- Resend delivers quote form submissions to us by email.
- Google hosts our email inbox (Gmail), where enquiries and correspondence are kept.
- Google Analytics, only if you accept: Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland) processes the measurement data for us under Google’s data processing terms. Google may transfer this data to the United States; Google LLC is certified under the EU-US Data Privacy Framework and its UK Extension, and Google’s terms also include standard contractual clauses. Google signals, advertising features and ad personalisation are switched off.
Some of these providers process data outside the UK under appropriate safeguards such as adequacy regulations or standard contractual clauses. We do not sell your information.
The home and Recent Work pages show our latest Instagram posts. Those pictures load straight from Instagram’s image servers, run by Meta, so your browser sends Meta the same technical details it sends any website it loads an image from, such as your IP address. No Instagram or Facebook script, pixel or cookie runs on this site. Our Instagram and Facebook icons are plain links; once you click through, those platforms’ own privacy policies apply.
How long do we keep it?
We keep enquiries and correspondence while we’re discussing or delivering work, then only as long as we need them for our records, legal obligations or a possible claim. Copies saved by the quote form are deleted after 24 months. Google Analytics keeps event data for 14 months and we only see it in aggregate reports.
Cookies
We don’t use advertising cookies. On your first visit a notice asks whether you accept analytics. Nothing from Google loads until you choose Accept. If you choose Reject, or make no choice, Google Analytics does not run and sets no cookies. Either choice is stored in a necessary cookie,btn_consent, for six months so we don’t ask on every page.
If you accept, Google Analytics sets two first-party cookies on btncrew.com: _ga, which distinguishes browsers, and _ga_W54RGC4KCF, which keeps the state of a visit. Each lasts up to 2 years unless you clear it or withdraw consent.
To change your mind, open(also at the foot of every page) and switch analytics off. We then stop Google Analytics on the page and delete the _ga cookies.
Your rights
Under UK data protection law you can ask for a copy of your personal information, and ask us to correct, delete or restrict it, or to transfer it to you or another organisation, where applicable. You can object to processing based on our legitimate interests, and withdraw consent at any time. Email [email protected]; we may need to confirm the request is yours.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) atico.org.uk/make-a-complaint or on 0303 123 1113.
